Terms & Conditions


All communication regarding Tours and Travel Services, as well as bookings, should be directed to Tour Crown.

Booking: Upon confirmation of your booking, your contract will be established with Tour Crown. The contract becomes valid when we confirm your tour or travel services and receive the required deposit.

Payment: To secure the services contracted, a minimum deposit of 25% of the total cost must be paid to Tour Crown. This deposit is necessary to confirm your booking.

Balance Payment: The remaining balance must be settled 15 days prior to the scheduled start of services. Bookings made within 15 working days of the service date will be considered late bookings, requiring full payment at the time of booking.

Note: For special train journeys, hotel or resort bookings during peak seasons (such as X-Mas, New Year, Pushkar Fair, Diwali, etc.), full payment is due at the time of booking.

Payment Methods: Domestic clients can make payments through various methods, including online credit card payment (American Express, Visa, MasterCard, Discover, Diners Club), online debit card payment (Master, Visa, Maestro), offline credit card payment (American Express, Visa, MasterCard, Discover, Diners Club), cash, cheque, demand draft, or bank transfer (RTGS & NEFT).

Note: A 3% bank charge will be levied on payments made through credit/debit cards. All payments should be made without any withholding tax or deduction. Bank charges, if any, for remittance (by the remitting bank or intermediary bank) will be the responsibility of the payer.

Cancellation/No Show/Early Departure Policy:

In case of tour or travel service cancellations due to avoidable or unavoidable reasons, written notification must be provided to us. Cancellation charges will be applicable from the date we receive the written notification, as follows:

  • 60 days and prior to arrival: 10% of the tour/service cost.
  • 59 days to 30 days prior to arrival: 20% of the tour/service cost.
  • 29 days to 15 days prior to arrival: 25% of the tour/service cost.
  • 14 days to 08 days prior to arrival: 50% of the tour/service cost.
  • 07 days and less, prior to arrival or no show: No refund.

Please note that regardless of the above cancellation slabs, in case of tour or travel service cancellations after booking with us, a minimum 10% service charge will be applicable. For unused hotel accommodation, chartered transportation, and missed meals, we do not bear any responsibility for refunds.

For special train journeys (e.g., Palace on Wheels, Royal Rajasthan on Wheels, Deccan Odyssey, Golden Chariot, Indian Maharaja & Maharajas Express), a separate cancellation policy will apply, which will be advised as needed.

Please be aware that during certain periods, such as High Peak Season (from 20th Dec to 15th Jan), Festival Period Bookings (e.g., Diwali, Duseera, Holi, Pushkar Fair, etc.), and Long Weekends Bookings, no refunds will be made for cancellations, regardless of the reason.

Refund: Refunds for unused or canceled services that have been prepaid will be calculated based on the previously mentioned cancellation policy. The refund will be issued to the person who made the payment, and the process may take 2–4 weeks due to banking procedures. If the refund is made to a credit card account or bank account, bank charges will be deducted from the refund amount.

Arrival and Departure Policy:

Check-In Timings: 1200 – 1500 Hours

Early arrival is subject to availability. For guaranteed early check-in, reservations need to be made starting from the previous night.

Check-Out Timings: 1000 – 1200 Hours

Late check-outs are available upon request and are subject to availability and payment.

Extra Usage of Vehicle: Please note that the cost of extra vehicle usage (cars, coaches with drivers) is not included in the services. Additional vehicle usage after transfers or sightseeing is not allowed unless it is explicitly mentioned in the detailed itinerary.

Our Liabilities and Limitations: After finalizing the tour or service cost, if there are any increases in entrance fees for monuments/museums, taxes, fuel costs, or guide charges by the Government of India, those charges will be added to the total cost. Our rates are based on agreements with hotels and airlines, and they retain the right to modify rates without prior notice. In such cases, we may need to adjust our rates accordingly.

Tour Crown and its associates act as agents for hotels, airlines, transporters, railways, and other service providers. All exchange orders, receipts, contracts, and tickets issued by us are subject to the terms and conditions of these service providers. The tickets, coupons, or passage contracts provided by carriers, hotels, or other service providers constitute the sole contract between clients and those providers.

Tour Crown itineraries are sample schedules, providing a general idea of the trip's timing. Various factors, such as weather, road conditions, and participant abilities, may require itinerary changes before or during the tour. Tour Crown reserves the right to amend any aspect of the itinerary, including transportation and accommodation, without prior notice, in the interest of participant safety, comfort, and well-being. Any extra costs resulting from changes will be the responsibility of the client.

Tour Crown shall not be responsible for delays, program changes, or expenses incurred due to natural hazards, flight cancellations, accidents, machinery breakdowns, weather, illness, landslides, political closures, acts of God, perils of the sea, floods, fires, government actions, wars, civil disturbances, riots, theft, epidemics, quarantines, medical or customs regulations, defaults, or any other causes beyond our control. Clients are liable for any additional expenses resulting from these causes.

Tour Crown is not liable for the loss of property or damages, including injury or loss of services, that clients may experience due to the negligence or default of transportation companies, hotel agents, or other service providers. Clients who use sports equipment, bicycles, sailing boats, scuba diving gear provided by hotels or rental bodies do so at their own risk.

Tour Crown does not have insurance covering expenses for accidents, illness, theft, or other reasons. Visitors are advised to arrange insurance in their home country. All baggage and personal property are at the client's risk at all times.

Tour Crown reserves the right to cancel services if we find a tour, trip, or passage impracticable or if circumstances require such action. In such cases, we will refund the value of the canceled services, and the client will not have any other or further claims against the company.

Tour Crown reserves the right to refuse its contract with any person considered undesirable at our discretion, without the need to provide a reason.

All disputes arising from this agreement will be referred to an arbitrator appointed by Tour Crown. These disputes will be subject to the jurisdiction of Delhi (India) Courts. The laws of India will govern the validity, interpretation, construction, performance, and enforcement of these terms and conditions.
